Product Master Best Practices

The Product Master is the central record for maintaining product information in the system. Maintaining accurate and consistent product data helps ensure reliable purchasing, sales, production, inventory, and reporting processes.

Product Master Best Practices

1. Use Clear Product Names

Enter clear and meaningful product names that accurately describe the item. Avoid unnecessary abbreviations or inconsistent naming formats.

2. Maintain Unique Product Records

Create only one master record for each product. Avoid creating duplicate products with slightly different names or descriptions.

3. Use Consistent Units of Measurement

Select the appropriate Unit of Measurement (UOM) for each product and maintain consistency across purchase, sales, production, and inventory transactions.

4. Maintain Accurate Product Categories

Assign products to the appropriate category or classification. Consistent categorization makes product identification and reporting easier.

5. Enter Complete Product Information

Maintain all required product details, including product name, code, category, unit, and other applicable attributes. Complete information reduces errors during transactions.

6. Use Consistent Product Codes

Use a consistent product coding structure. Product codes should be unique and easy to identify when selecting items in transactions and reports.

7. Avoid Duplicate or Obsolete Products

Before creating a new product, check whether the product already exists in the Product Master. Avoid creating duplicate records for the same item.

8. Verify Product Details

Review product information before using the product in Purchase Orders, Sales Orders, Manufacturing Orders, Inventory Transfers, or Inventory Adjustments.

9. Keep Product Data Updated

Update product information whenever there are approved changes to the product. Ensure that changes do not create inconsistencies with existing transactions.

10. Maintain Data Consistency

Use the same product naming, coding, categorization, and unit conventions throughout the system. Consistent master data improves transaction accuracy and report reliability.

Product Master Review

Regularly review the Product Master to identify duplicate products, incomplete information, incorrect units, inconsistent naming, and obsolete records. Maintaining clean product master data supports accurate inventory balances and reliable business reports.
